Job description

As our District Operations Coordinator, you will roll up your sleeves and create operational efficiencies to make sure our Decentralized Clinical Trials run smoothly. Whether it’s executing processes to support the research site workflow, orienting new hires on clinical operation tasks, setting up events, or picking up lunch, you’ll take care of it, if it makes life easier for the team.

Every day will look a little different. You’ll solve new and unexpected problems on a regular basis. To thrive in this role, you must stay calm under pressure and have experience working with a team in fast-paced, high-pressure healthcare, or disaster relief environments. Comfort with ambiguity is a necessity; we don’t always have all the answers right away but you are empowered to make decisions to address challenges.

By uniting healthcare heroes to bridge standard care with clinical research, Care Access is transforming the industry to accelerate the development of breakthrough therapies and life-saving treatments for a variety of research indications.

With employees deployed across the country in mobile units right now, we hope to accelerate the clinical trials required for FDA approval of vaccines, drugs, and diagnostics.

As our District Operations Coordinator, you’ll support those efforts.

Here’s what you can expect:

  • You support the General Managers to achieve the needs of the Jump / Mission. These could be events, deployments, visitor events, testing days, or site evaluation based.
  • Implement the project plan alongside all stakeholders for the above mission.
  • You are key in helping a research study achieve milestones. These can be pre-screening goals, enrollment goals, partnership collaboration success, and more.
  • You work with the clinical teams to optimize workflows. These can be patient flow, IP management, or resupply of study materials.
  • You are the communication link between the jump team functions needed for a successful mission.
  • Physical setup, organization, technology implementation on the ground.
  • Sometimes working with vendors and coordinating them. Examples are the fire marshall, food vendors, calibration appointments, meetings with the PI, and more.
  • You’re also all things support - whether it’s a technical issue or an extra set of hands, your team will look to you to help out at a moment’s notice.
  • You will streamline communications and simplify changes so everyone working on the mobile “jump” team can efficiently and quickly process trials.
  • You will establish and maintain excellent lines of communication with staff, internal teams, and client contacts.
  • Managing constant change. Research has never been done this way before, and the need for science has never been as great as it is today. That’s why we need you to streamline systems and help us improve them.
  • Safety is our number one priority. You’ll learn our manufacturing standards and make sure that everyone leaves as healthy as they came.
  • A team you can rely on. We trust each other to show up every day and put in the work it takes.

Must Haves:

  • Expert organizational skills, this level of organization is your lifestyle!
  • Strong interpersonal, communication, facilitation, presentation and public speaking skills.
  • Ability to jump in as a leader should the situation demand it. Understanding how and when to step up / or hang back.
  • Ability to onboard onto nuances quickly, comfortable with ambiguity and not having all the answers.
  • Bachelor’s Degree in a clinical, scientific, public health, cognitive science or management field
  • Willing and available to travel with 24-48 hours notice.
  • Experience using Microsoft Suite and Google Suite.

Nice to haves:

  • Proven work experience in clinical operations coordination/management or similar role.
  • Healthcare Operations work experience with clinical study management, site director management, pharmaceutical study management
  • Customer Success or service background.
  • Technical background (coding, engineer, developer, etc) even if it's following instructions to build something technical.
  • Strong preference given to candidates available immediately.

Benefits:

  • PTO/Vacation days, sick days, Holidays.
  • 100% paid Medical, Dental and Vision Insurance. 75% for dependents.
  • HSA plan
  • Short-term disability, long-term disability, Life Insurance.
  • Continued Education Allowance
  • Culture of growth and equality
  • 401K plan and matching contribution
