Job description
The Project Manger lead the overall production process for the account: creative development, planning, pre production, production, delivery, dismantling and closing of the project including storage of materials, overseeing all areas relating to the delivery of the Projects, including, but not limited to, the administration, planning, budgeting, concepts, design, scripting, casting, rehearsal, technical interface, music, visual content, stage management, and any other matters as required.
Key responsibilities/accountabilities:
- Provide leadership and direction to staff, managing the workflow process through regular check-ins to ensure high quality creative production output
Work closely with all members of the production, creative, business and strategy teams to ensure complete collaboration across all elements of production
Act as the escalation point for clients around production and/or staff issues/concerns.
Raise red flags with the Business Manager & Executive Producer on any account or project elements before they become client issues
Guide the team in developing SOW documents, budgets, production schedules, event schedules (all using the existing templates developed)
Monitor financial accountability of production staff, including project financials, financial documentation required for reconciliation, revenue recognition and accurate timesheets with the Budget Supervisor
Continually look for innovative solutions and production methods
Execute the integrity of the creative treatment across all deliverables through the Creative Division Head of Department and all other creative staff, consultants and contributors to the show, including but not limited to the Directors, Scenic and Costume Designers, AV Designers, Lighting Designers, Audio Designers, Choreographers, Composers, performers and volunteers
Working closely with the BWS Head of Production to maintain an active network of high quality freelance production and creative talent
Negotiate third party partner relationships, including financial agreements (either directly or through Head of Production / Executive Producer)
Manage projects to ensure that production & creative resources (external and internal) are assigned, scheduled and deliver effectively, costs and margins are monitored and appropriate budgets are developed.
Guide the development, writing and presentation of proposals, scopes of work, schedules and staffing plans as they relate to solutions
Create project budgets and be responsible for maintaining and managing the revenue throughout the project with the Budget Supervisor (e.g the Exec. Producer or the Head of Production)
Help teams look ahead within the timeline and manage all project deliverables
Serve as a point of resolution for solving problems related to process, deadlines and conflicting priorities
Oversee the post-production process of jobs to ensure reconciliation, debriefs, cost saving reports and server organization
Build and maintain effective client relationships, ensuring that all client’s needs are heard, understood and addressed in a timely way with Business Manager
Participate in a clear communication to the client managing all the strategic channels in a BWS way. Interacting and sharing responsibilities and information with the project leader and business manager
Reconcile costs against budget for your assigned project
To collaborate with the Production Stage Manager and Stage Management Department on the rehearsal schedule
To work with the Cast Department, Creative Coordinator and Operations Department to ensure that all production requirements for infrastructure, security, accreditation, medical and safety needs are met and managed
To assist the Executive Producer and Administration division in contributing to and adhering to risk management strategies in relation to the delivery of the show
To carry out any other duties as reasonably requested by the Executive Producer
To manage, attend, and report on all production meetings for the Show directly or through his/her deputy
To manage the advancement of tasks to meet contractual milestones and report on this regularly

Key knowledge, experience and qualifications required:
- Understanding of production and operational requirements for large-scale events and/or ceremonies within film, theatre, live events or TV
Extensive related/relevant work experience
Understanding and demonstrable experience of a similar role
