Role Description

To provide efficient and pro-active administrative support to the Head of Internet of Things (IoT) Sales, Americas and act as the team coordinator. The remit of the U.S. sales team is designed specifically to grow IoT revenues and margin through direct and overlay sales using Vodafone’s IoT Product portfolio and Connectivity.

The ideal candidate requires a good understanding of practices and procedures, including, but not limited to, travel arrangements, system approvals, expenses, purchasing orders and tracking annual spend and owns these activities for the team. This role also supports on ad-hoc requests/cycle requests including, but not limited to, coordinating team events, forums and meetings; arranging any necessary travel / accommodation / catering requirements as needed by team members and / or delegates.


Role Purpose

  • Operates in a positive manner under tight deadline, while building solid relationships with cross-functional partners and administrators across Vodafone Business (including PAs to other sales leaders)

  • Ensures Head of Sales and team members are fully prepared for all meetings, including agenda preparation, pre read and follow-up actions

  • Participate as an active member at the leadership team meetings and coordinate follow up, action items and deliverables in coordination with the sales team members

  • Lead the Customer Experience Excellence (CXX) program and coordinate initiatives and actions internally, as well as with customer engagement and follow up

  • Prepare and amend PowerPoint presentations, Word documents, Excel spreadsheets

  • Compile sales figures in Excel and prepare detailed PowerPoint presentations

  • Must be able to work independently

  • Handle sensitive information with complete discretion

  • Ad hoc administrative duties

  • Maintain the holiday schedule and details of cover for the team

  • Raise purchase orders

  • Organise journey planning (including Visas, currency etc)

  • Booking flights/hotel/parking/car parking

  • Track on travel

  • Demonstrates extensive diary and calendar management in a timely and professional manner for the Head of Sales – international meetings, awareness of cultural differences and time zones, prioritise conflicting demands for time

  • Book meeting rooms, order lunches, advise on resources, welcome guests

  • Read and collate emails

  • Be the first point of contact

  • Arrange logistics and book venues for regular local and overseas team meetings

  • Co-ordinate and distribute agenda and pre-reading material

  • Manage and Coordinate events participation with internal stakeholders and booth participation at IoT events

  • Manage hospitality requirements

Key Qualifications

  • Bachelor’s degree or equivalent work experience

  • In-depth administrative support experience

  • Excellent working knowledge of Word, Excel, PowerPoint and Outlook

  • Confident telephone manner

  • Strong organisational skills, effective prioritisation and good deadline management

  • Ability to liaise with all levels of management

  • Strong Customer relationship management skills with ability to interact at all levels

  • Team player, strong influence and relationship management skills

  • A self-starter with a determination to succeed, balanced with appropriate tact and diplomacy

  • Multi-lingual skills and cultural sensitivity advantageous
