The Coordinator Assistant supports the Logistic Manager and the Race Team Coordinator in the organisation of Race Team personnel travel arrangements, attending events to coordinate the garage built, freight movements and personnel logistics on site.

All the responsibilities we'll trust you with:

TRAVEL ARRANGEMENT

Support the Logistics Department working from Faenza for 70% of the time in:

  • arranging Race Team travel and freights logistic processes.
  • booking flights, hotels, transfers, rental cars for specific business trips;
  • organising the completion and submission of all VISA applications to meet the requirements of each country visited;
  • maintaining a database of information for all regular travelling team members.

RACE AND TEST EVENTS

Attending race/test events for 30% of the time to coordinate garage build, freight movements, drivers racing/pit stop kits, hotels, company vehicle fleet and hired cars arrangements.

Supporting the Race Team Coordinator in:

  • creating and updating vehicle movement schedule,
  • checking freight movements and ensuring compliance with the related documentation required
  • creating team/event timetables, order Forms and crew job lists
  • planning and issuing garage layouts, garage signage and FIA Network for each event.
  • Ensuring the Health & Safety rules are followed and enforced in all venues at the track.
  • Solving on site problems (mainly related to H&S, personnel and freight logistics) for all events.
  • Building and maintaining relationships with circuits, FIA and F1 members, as well as with Team partners at the track.
  • Liaising with marketing department to manage on-event operations.

TEAM WORK

Working in close cooperation with Logistics Manager, Chief Garage Technician, Chief Mechanic, Transport manager and Race Team Coordinator.

Always work in a professional manner regardless of the task set and be pro-active in promoting a positive image for the department / team/ sponsors.


Your areas of knowledge and expertise

  • Preferred academic background
  • Previous experience in Logistics, ideally in Motorsport.
  • Driving license.
  • Proficiency in MS Office.
  • Physical workload required.
  • Ability to drive a forklift.
  • Available to travel for 30% of the time.
